FullConsignor Policy

Loop & Label welcomes consignors who share our commitment to sustainable, high-quality mid to high-end women's fashion. Our policy ensures a smooth process for all parties by setting clear expectations for item eligibility, submission, verification, and handling of unsold or rejected items. By consigning with us, you agree to these terms, which are designed to maintain our inventory standards, foster trust, and support our mission of community impact through donations to local domestic violence shelters.

Item Eligibility and Standards

Accepted Items: We specialize in mid-range and high-end women's clothing, accessories, and shoes from brands like Anthropologie, Arket, Banana Republic, Free People, Farm Rio, and Vince and more. Items must be in excellent condition: new, gently used, or new-without-tags; clean; free of stains, odors, rips, or excessive wear; and current-season or timeless styles (generally within the last 5 years). Low-end brands (e.g., Shein, Walmart, Target), outdated styles, or items in poor condition are not accepted.

Non-Accepted Items: To avoid disappointment, please do not submit low-quality items, such as those that are overly worn, out of style (e.g., trends from over 5 years ago), off-brand, or in poor condition (e.g., faded, pilled, or damaged). Submitting such items may result in rejection and could affect your consignor status.

Quantity Limits: New consignors are limited to 10 items per submission to ensure quality focus. Established consignors (defined below) may submit up to 20 items.

Consignor Verification Process

To prevent the receipt of ineligible items and maintain high standards, we require a verification process for new consignors. This helps avoid scenarios where consignors send in batches of low-quality items (e.g., 10 pieces that are too old, out of style, off-brand, or in poor condition), saving time and costs for everyone. You can choose between photo submission or a live video call to bypass photos.

  • Submit a digital pre-approval request via our Wix Consignor Portal (loopandlabel.com/consign) before shipping any items. Choose one of the following options:​​

Photo Submission (Standard Option): Upload clear photos (front, back, labels, and any flaws. These are basic pictures, leave the professional pics to us) and descriptions (brand, size, condition) for each item. Our team reviews within 3 business days.

Live Video Call (Bypass Option): Schedule a 10–15 minute video call to show items live on camera. This bypasses photo uploads and allows real-time discussion of condition, authenticity, and marketability. Prepare by having items ready in good lighting, with labels visible. We'll provide immediate approval or feedback during the call.

Tools Used: We primarily use Google Meet (free, no download required, and highly rated for small businesses in 2025). Alternatives include Zoom or Microsoft Teams if preferred—select your choice when scheduling.

Scheduling: Book via our Wix Appointments integration on the Consignor Portal. Available slots are weekdays 10 AM–4 PM ET (adjustable based on demand). Calls are recorded for quality assurance (with your consent) and last no longer than 15 minutes.

Preparation Tips: Test your device/camera beforehand. Have items laid out for easy viewing. If issues arise (e.g., technical glitches), we can reschedule or switch to photo submission.

Approved items receive a prepaid shipping label and branded packaging for mailing to our Sarasota location. If items are not approved, we'll provide polite, constructive feedback (e.g., "This item appears out of style or in poor condition—consider donating locally") and suggest improvements.

  • For Established Consignors:

    • After successfully consigning and selling at least 3 batches (with 80% or more of items accepted and sold), you achieve "established" status. This waives the pre-approval step, allowing direct shipping with our prepaid labels.

    • We reserve the right to reinstate verification if future submissions consistently include ineligible items.

Benefits: This process builds trust, reduces waste, and ensures only marketable items enter our inventory. Established consignors enjoy faster processing, while new ones get guidance to succeed.

Submission Proces

How to Consign: Once approved (for new consignors), use our provided prepaid shipping label and branded, sustainable packaging to mail items to our processing hub. Include a signed digital consignment agreement (via DocuSign) outlining terms, including your 70% share of sales.

Inspection Upon Receipt: All items are inspected within 5 business days for authenticity, condition, and alignment with our standards. We use tools like detailed photos and market research to verify quality.​

Handling Rejected or Unsold Items

To avoid operational costs and encourage quality submissions, Loop & Label does not cover shipping for rejected or returned items. This policy is standard in consignment to incentivize careful selection by consignors.

Rejected Items:

If items do not meet our standards upon inspection (e.g., poor condition, off-brand), we'll notify you via email within 5 business days with photos and reasons

  • Options:

    • Return at Your Expense: Use a prepaid return label (purchase in shop ) within 7 days of notification, or we'll deduct the cost (typically $10–$20) from any future payouts.

    • Donate: Opt to donate items to our partnered Sarasota DV shelter, with 100% of any proceeds from shelter sales supporting their programs. This is the default if no response within 7 days.

  • No storage fees apply, but unclaimed items after 14 days may be donated without further notice.

  • To prevent rejections, refer to our eligibility guidelines and use the verification process.

  • Items unsold after 60 days follow the same options: return at your expense or donate (default unless specified in your agreement).

  • Restocking Fee (If Applicable): For batches with more than 50% rejected items, a $10 restocking fee may apply to cover handling, deducted from future payouts. This encourages quality submissions and is waived for established consignors.

Payouts and Established Status Perks

Payouts: Receive 70% of the sale price via PayPal Mass Pay (bi-weekly on the 1st and 15th) or store credit. Established consignors get priority processing and exclusive perks, like early access to pop-up events.​

Tracking: Monitor your items via the Wix Consignor Portal, including sales, rejections, and donation impacts.

General Terms

  • Agreement: All consignors must sign our digital consignment agreement, which includes these policies and dispute resolution via arbitration in Sarasota, Florida.

  • Transparency: Quarterly reports on donations and impacts are posted on loopandlabel.com.

  • Changes: We may update this policy with 30 days' notice via email.
